Instructions for Authors
“Caspian Journal Reproductive Medicine” (Caspian J Repord Med) is pleased to announce this journal subscribes to the principles of, the Committee on Publication Ethics (COPE). Therefore, policy of this journal on plagiarism is very serious and authors are encouraged to avoid any practice of plagiarism. (The COPE flowchart is available at: http://publicationethics.org.).
The journal accepts various articles including original articles, review articles, case reports/case series, and letter to editor. Article submitted for publication should be described original work, not previously published elsewhere, totally or partly. Any fees or charges are not required for manuscript processing and/or publishing in this journal. All accepted and published papers will be available freely in the journal website (open access).
Various articles
Original articles:
These include randomized controlled trials, intervention studies, studies of screening and diagnostic test, case-control series, outcome studies, and cost effectiveness analyses. Original articles should contain between 1500-3500 words (excluding Abstract, references and Tables). The text of original articles should structured; title, abstract, introduction, materials and methods, results, discussion, conclusion, acknowledgement, conflicts of interest, and references, tables figures and legends.
Review Articles:
They should be written by authors considered experts on the subject. Therefore the corresponding author of the review article must be one of the authors of at least three articles presented in Reference section. Systematic reviews and meta-analysis are more welcomed and they should respectively follow the PRISMA (http://www.prisma-statement.org/) and MOOSE guidelines (http://www.consort-statement.org). Review articles must include an abstract of no more than 250 words, a main text between 2000-3000 words excluding up to 90 references, and up to 6 tables and/or figures.
Case Reports/Case Series:
Case reports are accepted provided they are of exceptional interest for readers. The case report should be structured; abstract (unstructured), introduction, case report, discussion, acknowledgements, and references. Case reports must not exceed 1,000 words, 15 references and reasonable amount of tables and/or figures.
Letter to the Editor:
The letter to Editor should be brief, relevant and timely. The author's name, qualifications, the author's position, and place of research should be provided.
A. Manuscript preparation
Before preparation of your manuscript, read the 'Instructions for Authors' carefully. We will not accept manuscripts that do not comply with these instructions.
The manuscript must be written in English using standard 12 point font (Times New Roman style) and typed in double-line spacing with 2.5-cm margins and should be prepared in Vancouver Style. The manuscript formats accepted are Word (.DOC and .DOCX) RTF. Generally, the manuscript should be submitted in the form of two separate files:

Title page:
This should be include the type of manuscript (original article, review article, case report), title of the manuscript, running title, name (s) of all authors, affiliation(s) and address(es) of the author(s), e-mail address, telephone and fax numbers of the corresponding author.
Abstract:
The summary should be presented (no more than 250 words) in structured format as Background, Methods, Results and Conclusion followed by 3 to 5 Keywords. They should briefly describe the problem being addressed in the study, how the study was performed, the salient results and what conclusions can be made from the results. Do not use abbreviations, footnotes and references in the abstract. Please use Index Medicus subject headings.
Text:
Main text of manuscript (original articles) including Introduction, Materials and Methods, Results, Discussion, Conclusion, Acknowledgements, Conflict of interest, Tables, Figures, and References. Do not use footnotes only in tables and figures.
[2] Blinded Article file: The main text of the article, beginning from Abstract till References (including tables) should be in this file. The file must not contain any mention of the authors' names or initials or the institution at which the study was done or acknowledgements. Please do not send the PDF format.
Units:
All measures should be reported in SI units followed, in the text, by traditional units in parentheses. For general guidance on the International System of Units and some useful conversion factors, see 'The SI for the Health Professions' (WHO, 1977).
Abbreviations:
Words to be abbreviated should be spelt out in full the first time they appear in the text with the abbreviations in brackets. Thereafter, the abbreviation should be used.
References:
References should be numbered consecutively according to the order in which they are cited in the text. A reference cited only in a table or figure is numbered within the sequence established by the first mention of that table or figure in the text. Use of references more than 10 years old is discouraged unless they are classic or unique works. Authors must verify all references. The reference list should follow the text of the manuscript. Follow the Vancouver style for reference formatting and punctuation in EndNote System before Submitting. In the reference list, abbreviate names of journals according to MEDLINE/Index Medicus. For five or more authors, list the first three names followed by "et al."

Tables:
Do not embed tables in the manuscript text. Tables must be created using the table tool in Word (doc). Do not submit tables as photograph. Footnotes can be included below the table. They should have a brief descriptive title placed at the top. Number the tables consecutively in the order in which they are cited in the text (i.e., table 1, table 2, etc.). Do not use bulleted lists in tables. Place explanatory matters in footnotes, not in the heading.
Figures and Illustrations:
Authors are encouraged to submit their figure files in color . Illustrations should be numbered consecutively to the order in which they are cited in the text, given suitable legends. Original drawings may be submitted although high quality glossy photographs are preferable. They should be kept separate from the text. Please put each tow figures in one page of the manuscript text. The same data should not be presented in tables, figures and text, simultaneously.
B. General Consideration
The Review Process:
Each manuscript submitted to this journal is initially checked of plagiarism, duplicate publication by automatic software. Then, it is assigned to either a Managing Editor or Editor-in-Chief. The assigned manuscripts are sent to subjected editorial board. Finally, the manuscripts qualified for review are submitted to two or more expert reviewers. The whole review process depends on receiving referees' comments and revising the manuscripts based on these comments to the author. On receipt of the revised article from the author, and after final approving by rrevewers, the letter of acceptance is issued to the author. Authors have the right to communicate to the editor if they do not wish their manuscript to be reviewed by a particular reviewer because of potential conflicts of interest. The author can also suggest the name of possible competent reviewers but it is up to the editor to accept it. No article is rejected unless negative comments are received from at least two reviewers. To assist the speed of peer review process, you are requested to introduce three experts with their contact details, but the Editor-in-Chief would be emancipated finally. The authors must prepare the manuscript format based on uniform requirements for manuscripts submitted to Caspian J Repord Med. The Managing Managing Editor or Editor-in-Chief is made corrections without changing the main text of the paper.
Cover letter:
Each article should be accompanied by a cover letter, signed and dated by corresponding author specifying the following statement: “The manuscript has been seen and approved by all authors and is not under active consideration for publication, has not been accepted for publication, nor has it been published in another journal in full or part" (except in abstract form). This covering letter should be scan and upload via prerequisite section in manuscript submission form.
Conflicts of interest:
Authors should disclose, at the time of submission, information on conflicts of interest between authors, institutions or other interests that may influence the manuscript. Authors should declare sources of funding for the work undertaken. Authors must participate in the peer review process and follow the comments. All Authors mentioned in the paper must have significantly contributed to the research. Level of their contribution also must be defined in the “Authors’ Contributions” section of the article. Authors cannot withdraw their articles within the review process or after submission, or they must pay the penalty defined by the publisher.
Copyright Notice :
All listed authors must sign the copyright transfer form . No article will be published without a copyright transfer agreement signed by all the listed authors. The signed copyright transfer agreement should be scanned and submitted online. Accepted manuscripts become the permanent property of the Caspian J Repord Med and may not be reproduced, in whole or in part, without the written permission of the Editor.
Open Access Statement:
The Caspian Journal of Reproductive Medicine is an Open Access Journal according to BOAI definition. Based on the permission issued by the Babol university of Medical Sciences chancellor, the journal content is freely available on the public internet, permitting any users to read, download, copy, distribute, print, reuse, remix, search, and/or link to the full texts of the articles whitout any cost. Although, they must acknowledge the journal.
Page charges:
There are no article processing charges (APCs) or submission charges for publication in the Caspian J Repord Med.

Page Proofs (for accepted articles only):
Page proofs are received by the corresponding author directly from the publisher (via e-mail) and must be returned within 72 hours of receipt. Detailed instructions on how to access the PDF of page proofs are provided on the Rapid Proof retrieval page. After printing the PDF file, E-mail or fax the proof of corrections to the contact person provided within 72 hours. Excessive corrections must be reviewed and authorized by the Editorial Office.
C. Ethical considerations
Ethical Standards:
Authors must be clearly stated in the document that informed consent was obtained from all human adult participants and should be included the name of the appropriate institutional review board that approved the research. This should be registered in the clinical trial registry. For animal experiments, the authors must indicate in the manuscript that the experimental procedures were approved by the appropriate committee at the university or institute and followed were in accordance with animal rights. Manuscripts that show a lack of ethical consideration for human subjects or experimental animals will not be accepted for publication.
Our journal follow the guidance from the Committee on Publication Ethics (COPE). In order to avoid ethical violations editors, authors, and reviewers should aware about the following:
Editor's responsibilities:
Handling, considering and accepting of the submiited articles only based on the date of submission and their scientific merit. Sponcered papers or papers of special issues are assessed tha same as other submitted manuscripts.
Treating reviewed articles confidentially.
Doing their responsibilities in a fair way and without any descrimination based on religious and political beliefes, sexual orientation, ethnic and geographical origin and gender of the authors.
Since this journal is committed to upholding the integrity of the scientific record. A member of the Committee on Publication Ethics (COPE) the journal will follow the COPE guidelines on how to deal with potential acts of misconduct. Author's Responsibilities:
Authors should keep accurate records of data related to their submitted manuscript and provide access to these data whenever it's requested reasonably.
Authors should have permission, confirmation or approval of national and/or local legal institutions in the cases of using human or animal subjects in their studies.
Authors should provide list of references and financial support.
When an obvious error is observed in the publication, the authors should notify it promptly to the journal editorial office.
Authors should not publish exactly or almost the same article in two or more journals.
Authors can correct the error by sending an erratum, addendum and/or corrigendum notice, or can retract the paper when it is inevitable.
Authors shuld state that informed consent was obtained from all human adult participants and from the parents or legal guardians of minors and include the name of the appropriate institutional review board that approved the project. It is necessary to indicate in the text that the maintenance and care of experimental animals complies with the current laws of the country in which they were performed.
Authors are obliged to participate in a peer review process of their submitted manuscript.
The corresponding author should communicate with the Editorial Office and respond to all the comments and any suggestions of reviewers.Corresponding author should collect signed copyright transfer agreements and CME disclosure forms from all authors and submitting these to the Editorial Office with the manuscript.
The corresponding author should share the reviewers’ comments with the other authors and ensuring the requested revisions are made or clearly disputed before resubmitting the manuscript.
The corresponding author of the article featured on the cover of an issue of Caspian J Reprod Med will receive PDF files of cover designs from the Editorial Office. He or she may share these designs with the other authors, but the corresponding author is responsible for ensuring any figure/tables/illustrations taken from the article (or supplied specifically for use on the cover) have been reproduced clearly and accurately, and for verifying the accuracy of their use for the Editorial Office.
Reviewer's responsibilities:
Reviewer should be expert in the field of publication,
Reviewer should act to the process of review that it is described on the journal’s web site.
Reviewer should check any potential conflicts of interest (finantial, collaborative and institutional) and to informe the editors.
Reviewer should point out relevant published work which is not yet cited.
Reviewed articles should be treated confidentially prior to their publication.To help to improve the quality of the submitted manuscript by participation in the evaluation process in a timley manner.
Reviewer should not copy the whole or part of manuscript and retain the confidentiality of the information supplied by the authors or editors.
D. Procedures for dealing with unethical behavior
Recognition of unethical action:
Misbehaviour and unethical action can be identified and transfered to the editor or publisher by any one.
Sufficient information and document should be delivered by who informs the editor and publisher for further investigation.
Investigation:
The editor makes a primary decision against the misconduct and begins a full investigation.
Complete documents should be accumulated and any useless allegation should be avoided.
Minor violations:
It does not need to consult more widely in the minor breaches or violations. The author should has the opportunity to answer to allogations.
Serious violations:
It these cases, the editor to getter with the others like publisher by assessment of the evidence or by consultation with a number of experts, will make decision to involve employers of the accused.
Consequences:
It is depends on the severity of the unethical action.
In the cases that it seems misunderstanding happened by the author or reviewer, informing or educating could be used.
Warning to the author or reviewer by a strong worded letter.
Publication of a formal notice which describes the misbehavior in detail.
Publication of an editorial which describes the misbehavior in detail.
Writing a letter to the head of the author's or reviewer's department or financial supporter.
Formal withdrawal or retraction of a publication together with sending a letter to head of the author's department and informing of Abstracting and Indexing services.
Imposition of formal sanctions on contribution for a period of time.
Reporting the whole case to a related organisation or higher authorirt for legal follow up and action.
